The Thomas Merton Family Center, a program of Catholic Charities of Fairfield County is seeking an Operations and Administration Department Lead (“OADL). Reporting to the Director of the Thomas Merton Family Center (TMFC), this full-time, benefits-eligible position supports the Director in all day-to-day management of services, including the supervision of staff, volunteers, and Title V workers. The OADL assists the Director with fostering the growth and sustainability of TMFC’s food services, case management, and immigration services programs. The OADL collaborates with the Director to promote TMFC in the community, to build out the programmatic life of the center, and to fully integrate the center’s various sub-programs into a cohesive and collaborative whole. The OADL assists the Director in further structuring and formalizing key aspects of the center’s internal processes, including the creation and maintenance of internal file-sharing structures/processes and the creation of formal internal onboarding and training materials. The OADL is responsible for supervision of the program in the absence of the Director.
Accountabilities:
•Assist the Director to ensure adherence to all agency and program policies and procedures.
•Assist the Director with supervision of staff, Title V and volunteers.
•Assist the Director with the development and monitoring of program budget, financial reports, and compliance with financial policies.
•In conjunction with Director, support the TMFC Advisory Board.
•Assist the Director in creating and maintaining TMFC staff handbook and training/onboarding materials.
•Assist the Director with furthering the integration of the various departments that make up TMFC.
•In collaboration with the Director and other relevant staff, help to build out the programmatic life of TMFC (expansion of community-engagement programs in the center, etc.).
•Create and manage cleaning schedule for the building.
•Work closely with food services staff (Chef and Food Services Specialist) to manage food ordering and inventory.
•Create and maintain internal digital record-keeping processes.
•Conduct outreach to engage community partners and recruit new volunteers.
•Work closely with CCFC marketing staff and the Director to promote TMFC via social media and through other outlets.
•Assist with coordination of programming, activities and referrals.
•Perform other duties as assigned.
Requirements:
Education and Experience:
•Bachelor’s Degree or equivalent experienced preferred.
•Four or more years of Human Services or Management experience. Preference for experience working in Human Services outside of the soup kitchen/food pantry environment—fresh perspectives are welcome.
•Experience working with at-risk populations.
•Experience with data entry and the management of online databases/file systems preferred.
•Experience supervising program services within a non-profit organization a plus.
•Experience working in for-profit businesses a plus.
•Experience in cleaning and maintenance of commercial buildings a plus.
•Experience in basic social media marketing a plus.
•Experience in food services, particularly in back-of-the-house operations for restaurants or grocery stores, a plus.
•Ability to lift up to 40 pounds.
Skills and Abilities:
•Bilingual (English and Spanish: ability to read, write, and speak both languages at a professional competency).
•Proficiency with Microsoft 365 and Google Workplace a plus.
•Ability to organize and manage a shared files database.
•Proficiency with Photoshop, Canva, or other similar graphic design software a plus.
•Detail oriented and well organized with the ability to work under pressure.
•Ability to work independently.
•Strong interpersonal, teamwork, and management skills.
•Effective communicator.
